EUDR due diligence statement prep sheet

Answer a few questions and get the fields of your due diligence statement (DDS) in TRACES, the EU’s online system where you file it, in its order: what each one means, what to have ready, and the article or guide behind it. Then print it or keep it open next to TRACES.

Guidance, not legal advice. It doesn't file anything and doesn't check your answers.

About the EUDR Due Diligence Statement Prep Sheet

Answer a few questions about your role and your products and see every field TRACES will ask for in your EUDR due diligence statement or simplified declaration, in its order: what each field means, what to have ready, and the article or guide behind it.

How it works

  1. Pick your role. Downstream operators and traders file nothing and see their Art. 5 duties straight away.
  2. If you file, pick the TRACES activity, the commodity, its HS code from Annex I and the country of production, and type the quantity.
  3. Read the sheet as it updates: each TRACES field in order, what it means, what to prepare, your answer and the sources behind it.
  4. Print it, or keep it open next to TRACES while you fill in the statement.

Input and output

Input
Your answers: your role, the TRACES activity, the commodity, its HS code from Annex I, the country of production and the quantity as you would type it.
Output
A printable sheet: the fields of the due diligence statement or simplified declaration in TRACES order, what to prepare for each, the steps after you submit, the records to keep, and a link to the article or guide behind every line. Downstream operators and traders get their duties instead.

Limits

  • It is guidance, not legal advice, and it does not file anything: you still submit the statement in TRACES yourself.
  • It does not check your answers. Quantities come back exactly as you typed them, and it cannot tell whether your role, HS code or plot data are right.
  • It follows the consolidated text of Regulation (EU) 2023/1115 of 18 September 2026, the TRACES user guide v3.0 and the Commission FAQ v5. Later changes to the law or the system are not in it until we update it.
  • It never decides that you qualify for a simplified regime: it follows the role you pick and shows the conditions that role depends on.

Questions

What information does an EUDR due diligence statement need?

Annex II of the EUDR lists it: your name and address, and your EORI number when the products enter or leave the EU market; the HS code, a description with the trade name (and the full scientific name for wood) and the quantity (for Import or Export, net mass in kilograms plus the supplementary unit where the code has one; for Domestic, net mass with a percentage estimate or deviation, or a volume or number of items); the country of production and the geolocation of every plot of land, or for cattle every establishment; and your confirmation that you exercised due diligence and found no or only a negligible risk. In TRACES you also choose an activity (Import, Export or Domestic), give the area of each production place and can group earlier statements.

Do traders and downstream operators need a due diligence statement?

No. Since the 2025 amendment, downstream operators and traders file no statement. They must hold the details of their suppliers and customers, including the reference numbers when the supplier is an operator, keep them five years, and register in the information system if they are not SMEs. The exception: if a company outside the EU placed the products on the market, the first company established in the EU that makes them available is deemed an operator and files.

Can I change a due diligence statement after submitting it?

For 72 hours from when the reference number is made available, you can amend or withdraw it. The window closes earlier once you are told of a check, once the products are placed on the market or exported, once the number is used at customs, or once the statement is grouped. Authorities may extend it.

Is there a German version?
