
What Four Basic Data Questions Reveal in Planting Data

For planting data, “what happened” becomes two questions: How many—and which species? Both answers need a place, a date, and current evidence.
That is how four basic questions about project data—Where? What happened? When? What is true now?—become five concrete checks for a planting operation:
- Where did the planting happen?
- How many trees were planted?
- Which species?
- When?
- How are they doing now?
Can your team connect those answers without digging through spreadsheets?
If an answer is hard to find, it gives you a practical starting point: investigate whether there is a gap in how the work is being recorded, or a delay between the work and the data becoming usable.
Spreadsheets are fast, familiar, flexible, and often appropriate. The useful test is whether quantities and species connect to the right place, date, and current evidence quickly enough to understand the work and make a decision.
The total is a starting point
Imagine you own a restaurant but don't know how many dishes you can cook tonight. You either send customers home angry or waste food. Either way, it's bad for business.
Planting operations need the same clarity about what was possible, what happened, and what needs attention next.
A planting total is useful. But without species, place, date, and follow-up, it is not enough to understand the work or manage what comes after it. The information might exist somewhere in the project without connecting into an answer the team can use.
1. Where did it happen?
Start with a planting area. Can you connect the work to the right site, parcel, or plot?

A project-wide total does not tell you what happened in that particular place. To plan a monitoring visit or understand differences between areas, the records need to lead back to the land where the work happened.
That connection also gives the remaining questions a shared reference. You can ask what was planted there, when it happened, and what has been observed since.
2. What happened: how many, and which species?
Quantity and species describe the planting work together.

Can the number be connected to the species used in that area and planting event? A total in one file and a project species list in another may each be useful, but they do not necessarily establish that relationship.
Keep the meaning of the number clear as well. Plants handed over and trees planted describe different moments in the work. If the handover is recorded but the planting is not, the gap deserves investigation.
Small records matter here. A planting day can end without the number, species, or location making it into the data. Capturing those details gives later monitoring and reporting something to connect to.
3. When did it happen?
Can the planting be connected to a date or season?

The team received the record 14 days after planting.
Timing lets the team relate an activity to the work that came before it and the follow-up that should come next. It also helps make comparisons between work sessions meaningful.
There is another timing question: how long does it take for a record to reach the people who need it? The work may have been recorded in the field, but a delay can still leave the operations team without a usable answer when a decision is due.
The first improvement might be changing when a record gets entered or shared.
4. What is true now?
Can the planting record connect to later monitoring evidence?

Knowing that trees were planted is different from knowing how they are doing. The answer needs the latest observation, the area it covers, and a clear view of which areas still need a check.
Maybe the team knows the planting total but cannot identify which areas are missing a recent survival check. That makes it harder to plan the next round of monitoring or maintenance while there is still time to act.
A connected record makes that gap visible. The team can investigate it and decide what needs attention next.
Notice where the connection breaks
This is not pass or fail. Any data you already have is a strong starting point.
Try the questions against one planting area and follow the connections. Where do you get stuck? Is something missing, difficult to locate, or arriving too late?
The first fix might be as simple as organizing a spreadsheet, tightening a field workflow, or changing when a record gets entered. Those are useful improvements in their own right.
Once the answers connect, they can support survival assessments, geospatial analysis, and comparisons between areas or work sessions. They can also help you speak more clearly with funders and investors about what you have done and what you may be able to do next. Clearer data does not guarantee funding, impact, or ecological outcomes; it gives the team a better basis for decisions and honest conversations.
